Front Office Works ("FOW," "we," "us," or "our") provides managed front-office services to businesses. This Privacy Policy explains how we collect, use, disclose and protect personal information when you visit getfrontofficeworks.com, contact us, request an audit, inquire about or purchase our services, or otherwise interact directly with FOW.
This Policy applies when FOW collects information for its own business purposes. When FOW processes information on behalf of one of our business clients, that client generally determines why and how its customer information is used. In that setting, FOW acts as a service provider or processor under the client’s instructions, and the client’s privacy notice governs the relationship with its customers. If you contacted a plumbing, HVAC, electrical or other business that uses FOW, please direct privacy questions to that business first. We will assist the client as required by contract and applicable law.
This Policy does not apply to third-party websites, platforms or services that have their own privacy notices.
Depending on how you interact with us, we may collect:
• Contact and identity information, such as name, business name, business address, email address and telephone number.
• Business and service information, such as trade, market, service interests, current front-office practices, plan interest and information you provide in an audit or enrollment request.
• Communications information, such as calls, text messages, emails, chat transcripts, voicemail, appointment details and the content of your requests. Calls are not recorded unless the recording practice and required notice have been activated and disclosed.
• Commercial and relationship information, such as proposals, subscriptions, invoices, transaction status, support history and service preferences. Payment credentials are processed by approved payment providers; FOW does not intend to store complete payment-card numbers in ordinary CRM fields or notes.
• Device and usage information, such as IP address, browser type, device information, referring page, page visited, form-submission metadata, timestamps and similar technical data collected by our website or service providers.
• Information from public and referral sources, such as business directories, trade associations, public websites, business-listing platforms, referrals and information a business representative provides to us.
Please do not submit Social Security numbers, passwords, authentication codes, medical information, complete payment-card data or other sensitive information through general website forms, chat, text message or email unless FOW has expressly provided an approved method and requested that information.
• Respond to inquiries, missed calls, audit requests and enrollment requests.
• Schedule meetings, prepare proposals, onboard clients and provide, maintain and improve our services.
• Operate customer relationship management, communication, workflow, reporting, support and security functions.
• Communicate about requested services and, where permitted, send marketing communications.
• Measure service performance, troubleshoot workflows, prevent misuse and maintain business and compliance records.
• Comply with law, enforce agreements, protect rights and respond to legal or regulatory requests.
• Use de-identified or aggregated information for analytics and service improvement where the information cannot reasonably identify an individual.
We may use automated workflows and AI-supported tools to answer or route inquiries, assist with scheduling, draft or summarize communications, monitor service activity and identify operational exceptions. FOW remains responsible for configuring approved uses and assigning human oversight. We do not authorize sensitive or regulated information to be sent to an AI tool merely because a technical connection is available. An automated assistant will identify itself where FOW determines disclosure is appropriate or required.
We may disclose personal information to:
• HighLevel and its contracted processors, which provide our primary CRM, communications, workflow, hosting, AI and related platform functions.
• Other vendors that help us provide website hosting, communications, payment, scheduling, analytics, security, professional, integration or support services.
• Our personnel, contractors and authorized representatives who need the information for assigned work and are subject to appropriate duties.
• A business client when the information concerns that client or was collected on that client’s behalf.
• Government authorities, courts, regulators, law enforcement or other parties when required by law or reasonably necessary to protect rights, safety, systems or users.
• A buyer, successor, investor or adviser in connection with a proposed or completed financing, merger, acquisition, reorganization or sale, subject to appropriate protections.
We do not sell personal information for money. As currently configured, we do not share personal information for cross-context behavioral advertising. If we activate advertising pixels or similar technology that changes this statement, we will update this Policy and provide any required notice or choice before or when the technology is activated.
Our site and embedded services may use cookies or similar technologies required for site operation, forms, chat, security and preferences. We do not currently deploy our own behavioral-advertising pixels. We may add analytics or advertising technology in the future only after completing the required legal and implementation review. Browser controls may allow you to limit cookies, although doing so may affect site functions.
If you provide a telephone number or email address, we may contact you about your request, appointment, account or services. Marketing calls or texts that require consent will be sent only under the consent standard applicable to the communication. Consent to marketing is not a condition of purchase. Message frequency varies, and message and data rates may apply. You may reply STOP to a text message to opt out and HELP for help. You may use the unsubscribe link in a commercial email. We will honor legally valid revocation and do-not-contact requests. A request to stop marketing does not prevent narrowly tailored non-marketing communications that are requested, legally permitted or necessary to administer an active service relationship.
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, to provide services, meet contractual or legal requirements, resolve disputes, maintain suppression records, and protect our rights. Retention varies by record type. FOW prospect records are generally reviewed for deletion after 24 months without meaningful activity. Contracts and accounting records may be retained for seven years after the relationship ends. Temporary exports are targeted for deletion within seven days. Information processed for a client is handled according to the client agreement and instructions. Platform providers may retain limited backups, security records or legally required information under their own policies.
We use reasonable administrative, technical and organizational safeguards designed for the nature of the information and our operations, including individual accounts, role-based access, multifactor authentication where supported, client-data separation, access review and incident escalation. No system or method of transmission is completely secure, and we cannot guarantee absolute security.
Depending on where you live and how we use your information, you may have rights to request access, correction, deletion or portability; to opt out of certain processing; or to appeal a decision. We will respond within the period required by applicable law. If the information is controlled by an FOW client, we may direct the request to or coordinate with that client.
